The business
JEA Financial (New Jersey)
A bookkeeping firm for online stores. Founder Erica Day runs it with about 15 people, including 12 bookkeepers, for just over 50 clients.
The problem
Every month her team had to enter lots of bills, like factory bills, Shopify bills and payroll bills. Doing it by hand took a long time. Each one had to go in the right place, or the client's numbers would be wrong. All the know-how was in Erica's head. She had to teach it to each person herself.
The bot or tool
Bookkeeping software for accounting firms. Its AI reads a bill you upload and drafts the entries for QuickBooks. Erica built her own steps ("skills") on top of it.
How they set it up
- Factory bills: the AI reads the bill, tags it to the right brand, adds a line for each product, and adds the order number so it's easy to find later. Then it checks its own math.
- Shopify bills: the AI splits the shipping, software fees and card fees into their own lines.
- Payroll bills: the AI splits pay by job site or by team, the way the client runs the business.
- Loan statements: at month end, the AI splits each payment into principal and interest.
- She recorded a video for each skill so her team can learn to build their own.
The story doesn't say how long it took to set up.
The result
- Erica estimates it saves 1 to 2 hours per client per month. Across just over 50 clients, she puts it at 100 hours or more every month.
- Her time tracking shows month-end books closing 30% faster for some clients.
- Double took the place of 4 other apps they paid for.
- "Double has actually allowed us to add additional value to each client because the same team can do more," she says.
- Hours saved
- 100+ hours a month across the firm, by the owner's estimate
- Money made or saved
- not stated
