Missed-call cost calculator

What do unanswered calls cost small businesses like yours? Your numbers, the math shown step by step. No email needed.

Last updated:

Short answer: For small businesses, the cost of missed calls is: missed calls, minus people who call back, times the share who would have booked, times your average job value. Enter your own numbers below to see it per month and per year. Nothing is sent anywhere.

Count a normal week in your phone’s call log. Include after-hours calls and calls that went to voicemail.

Existing customers often call back. New callers often call the next business.

Use your own booking rate from your calendar, CRM or job list.

Use the first job only for a careful number, or a year of work for the full picture.

How the math works

  1. Callers lost each week = missed calls × (100% − the share who call back).
  2. Jobs lost each week = callers lost × the share of answered callers who become a job.
  3. Money lost each week = jobs lost × your average job value. A month is 52 weeks ÷ 12 (about 4.33 weeks).
  4. Break-even for a fix = its monthly cost ÷ your average job value. That is how many saved jobs a month it needs to pay for itself.

Every starting number is an example we picked to show how it works. None of them is an industry average, so please change them. We use your answered-call booking rate for missed callers too. That is our own assumption: some missed callers were never going to book.

Questions people ask

How do you work out the cost of a missed call?

Missed calls a week, minus the people who call back, times the share who would have booked, times your average job value. Then times 52 weeks and divided by 12 months. All the numbers are yours.

Where do the starting numbers come from?

They are examples to show how it works, not industry averages. Swap in your own numbers from your phone log, your calendar and your invoices.

Is this calculator free?

Yes. It runs in your browser, sends nothing anywhere and asks for no email. The tools it links to are paid products from each maker, though some have a free plan or trial.

What does the estimate leave out?

Repeat work, referrals and reviews from customers you never got, and the time spent calling people back. It also assumes every missed caller is a real lead, so check how many are sales calls or spam.
