Grok Bot starter pack for roofers
Estimates go quiet. A follow-up never gets sent. This setup has your Grok Bot check your open quotes every Monday and draft a short nudge for each one. You read it and press send.
Free. Drafts only. Nothing is sent without you.
What you get
Grok Bot Quote Chaser
A do-it-yourself Grok Bot setupChecks your open quotes and writes a short follow-up draft for each customer who went quiet.
- Roofers send a lot of estimates. Many go quiet. A follow-up email that is already drafted is the easiest win.
- None of the 9 templates in the Grok Bot Library is made for roofers. This is the closest real one in our listings for a trade that sends quotes.
- It is a Grok Bot setup you build yourself from 5 steps, not a one-tap template. That is why there is no Add button on this page.
Hours saved: not stated. The post it comes from shares no results, so we are not guessing a number.

Set it up in 6 steps
Do these in order. It is mostly your own sheet and your own words.
- Write down how you chase quotes today. Who sends the quote. How many days you wait. How many nudges you send before you stop. Write the number down. Your Bot will follow it.
- Make one Google Sheet called Open Quotes. One row for each quote. Use these columns: Customer, Email, Price, Date sent, Nudges sent, Status. Put every open quote in it, and nothing else.
- Make one Google Doc called How we write to customers. Put in your prices, the questions customers always ask, and 2 or 3 follow-ups of yours that got a yes.
- Add the apps. Add Gmail, Google Sheets, Google Drive and Google Docs from the Skills and Plugins page. Pick the Gmail mailbox you use for quotes.
- Test it on last month's quotes first. Ask your Bot to do the job once in chat. Include one customer who already said no. Read every draft. Nothing should go out without you pressing send.
- Turn it on as a weekly routine. Paste the routine below into your Bot's chat. Then open the routine and check the line called When to run.

The weekly job: Monday quote check
Copy this and paste it into your Grok Bot chat. Then open the routine and check When to run.
Every Monday at 8:00 AM, open my Google Sheet called "Open Quotes". That sheet is the only list of who to follow up with. 1. Find every row where Status is Open, Date sent is 3 or more days ago, and Nudges sent is less than 2. (Change the 2 to your own number.) 2. For each row, search my Gmail for a reply from that customer first. If they replied, do not write a nudge. Put them in your report under "Replied, please check". 3. For everyone else, write a short, friendly follow-up and save it as a Gmail draft. Use my Google Doc called "How we write to customers" for my prices and my voice. Mention the quote price from the sheet. Ask one easy question, like whether they have questions or want to move ahead. 4. Never send an email. Never change a price, promise a date, or talk about insurance or claims. 5. Post a short list in this chat: who got a draft, who replied, and which rows I should update (Nudges sent and Status). Do not edit the sheet yourself. If the sheet or Gmail is not available, tell me what failed. Do not use old data.
- Grok Bot's docs say to confirm the owning Bot, the schedule and time zone, the input, the result, the approval limit, and what happens if the source is missing. This prompt covers each one.
- A new routine waits for its next time. It does not run when you make it. Use Test to try it now.
- A test run does real work, so test on safe rows.
Based on the steps in Grok Bot's docs for routines: Grok Bot docs: Skills and routines. The wording is ours.
How to tell it is working
- Count the quotes that turned into paid jobs, not the emails written.
- Count the quotes that still went cold.
- When you edit a draft, add that change to your Google Doc so the next draft is closer.
- Once the first weeks look good, tell your Bot: Save the process we just used as a skill. A skill is a saved set of steps your Bot follows every time.
What it will not do
- It does not send email. You always press send.
- It does not change your sheet unless you tell it to.
- It does not decide prices, dates or claims.
- It does not find new customers. It chases the quotes you already sent.
